Welcome & Documents

Welcome to ATC Scheduled Tours

Thank you for choosing African Travel Concept. Travellers should read all issued documents carefully and contact the booking agent or ATC if any detail is unclear.

Document priority

The confirmed itinerary, booking confirmation, approved rate inclusions and exclusions, and ATC Terms & Conditions govern the booking. General pre-departure information supports these documents and does not replace them.

Tour Expectations

Journey style

ATC Scheduled Tours may include long travel days, early starts, remote locations, changing road conditions and limited services. Flexibility, punctuality and consideration for fellow travellers support a positive group experience.

Itinerary changes

Routes, accommodation, vehicles, activities or timings may change for operational, safety, weather or supplier reasons. ATC will aim to provide a suitable alternative where reasonably possible.

Travel etiquette

Travellers must follow reasonable instructions, respect local communities and fellow travellers, keep shared spaces tidy and raise concerns promptly with the guide or ATC contact.

Feedback and complaints

Raise concerns during the tour with the guide or ATC emergency contact so assistance can be attempted. Written post-tour feedback should follow the approved ATC complaint procedure. Email info@africantravelconcept.com.

Guides & Operations

Guide and driver roles

The operating team may include an ATC guide, driver-guide, driver or approved local guides and suppliers. The designated tour leader has operational authority, particularly for safety and timing.

Emergency Contacts

Assistance during travel

Travellers should first contact the guide or designated tour leader for on-tour assistance. Genuine emergencies should be reported through the ATC emergency contact supplied for the departure.

The after-hours number is for genuine operational or traveller emergencies. Routine queries should be directed to the booking agent or relevant ATC office during business hours.

Travel Documents

Passport

Travellers are responsible for carrying a valid passport with sufficient validity and blank pages for every country on the itinerary. Names must match booking and transport documents.

Visas and entry requirements

Health

Medical advice and vaccinations

Travellers should obtain personalised advice from a qualified medical practitioner or travel clinic regarding vaccinations, malaria prevention, medication and fitness for the itinerary.

Medical disclosure and mobility

Relevant medical, dietary, mobility and accessibility requirements must be disclosed before travel so ATC can assess requirements with suppliers. Participation remains subject to safe and reasonable accommodation.

Personal medication and medical kit

Travellers should carry sufficient prescription medication in original packaging, supporting prescriptions where needed, and a personal medical kit. Reliable refrigeration or electricity cannot be assumed.

CPAP and powered medical devices

Remote properties and power interruptions may affect powered medical devices. Travellers should discuss requirements in advance and carry appropriate approved backup arrangements.

Baggage allowance

Baggage limits depend on the assigned vehicle, domestic flight or charter service. Oversized or excess baggage may not be accepted. Standard itineraries allow for 1 x suitcase per traveller. Please note weight restrictions may apply for charter flights.
